Definitions
In this disclosure text;
Personal Data: Any information relating to an identified or identifiable natural person,
Law on the Protection of Personal Data (“KVKK”): Law No. 6698 on the Protection of Personal Data, published in the Official Gazette and entered into force on April 7, 2016,
Kültür ve Medeniyet Vakfı: Kültür ve Medeniyet Vakfı,
Data Processor: The natural or legal person who processes personal data on behalf of the data controller, based on the authorization granted by the data controller,
Data Controller: The natural or legal person who determines the purposes and means of processing personal data and is responsible for establishing and managing the data recording system,
shall have the meanings given above.
Data Controller
Pursuant to the KVKK, your personal data shared in the capacity of addressee, member, scholarship recipient, volunteer, intern, supplier, visitor, award recipient, beneficiary, program partner and/or foundation employee/manager will be evaluated by the legal entity Kültür ve Medeniyet Vakfı, designated as the data controller, within the scope specified below.

Your personal data provided to us by you or obtained through the other collection methods specified below within the scope of the business relationship, which may be subject to processing by us, are as follows:

Method, Purpose, and Legal Grounds for Collecting Personal Data
Your personal data is collected through the following means, in line with the purposes set out in the law and Kültür ve Medeniyet Vakfı’s policy:
- Scholarship application forms,
- Kültür ve Medeniyet Vakfı website contact forms,
- Competition application forms,
- Venture/startup application forms,
- Documents submitted physically in addition to website applications,
- Communication via social media or through direct or authorized communication channels and physical channels,
- Various documents, emails, faxes, and letters provided by you or requested by us,
- Information obtained as a result of phone conversations with authorized persons contacting you on behalf of the foundation,
- Visual and audio recordings made instantaneously on online education platforms and in physical training sessions, in order to enhance continuity of education within the scope of Kültür ve Medeniyet Vakfı and for use in subsequent training sessions,
- Membership, application, and feedback forms filled out electronically or physically,
- Legal grounds arising from and exercised on the basis of relevant legislation, contracts, requests, general custom, and principles of good faith, whether communicated in writing, verbally, or electronically, or with your explicit consent.
Your personal data, including special category personal data, may be collected, processed, and transferred through the methods listed above and based on various legal grounds, for the purposes specified in this disclosure text, in accordance with the basic principles set forth by the KVKK, and within the scope of the personal data processing conditions and purposes stated in Articles 5 and 6 of the KVKK, in order to ensure the continuity of Kültür ve Medeniyet Vakfı’s activities.
Your collected personal data will be processed in accordance with retention rules, in line with Kültür ve Medeniyet Vakfı’s mission and objectives, for the following activities of Kültür ve Medeniyet Vakfı.
Legal Grounds for Processing Personal Data
- Providing scholarship support to Kültür ve Medeniyet Vakfı’s secondary school, high school, undergraduate, graduate, and doctoral students,
- Organizing workshops for secondary school and high school students through Kültür ve Medeniyet Vakfı,
- Providing financial support to teams preparing for national and international competitions through Kültür ve Medeniyet Vakfı,
- Supporting ventures by providing investment, office space, mentors, prototype workshops, and technical experts,
- Carrying out and participating in organizations, seminars, competition programs, workshops, education platforms, etc. planned in cooperation with real and legal persons with whom Kültür ve Medeniyet Vakfı collaborates,
- Organizing seminars,
- Ensuring physical space security,
- Carrying out communication activities,
- Carrying out social media activities,
- Carrying out internal audit/investigation/intelligence activities,
- Carrying out risk management processes,
- Ensuring the security of data controller operations,
- Receiving and evaluating suggestions for improving business processes, scientific studies, and foundation activities,
- Carrying out cooperation processes,
- Carrying out business continuity activities,
- Carrying out management activities,
- Organization and event management,
- Carrying out talent/career development activities,
- Carrying out audit/ethics activities,
- Carrying out emergency management processes,
- Carrying out information security processes,
- Processing, using, and sharing relevant course records and camera footage for appropriate purposes, in order to increase the continuity and efficiency of training conducted within Kültür ve Medeniyet Vakfı,
- Providing information needed by relevant/authorized public institutions and organizations, judicial or administrative authorities, and law enforcement agencies when required,
Your data is processed within the limits set forth by the KVKK, in a manner that is lawful, in accordance with the principles of good faith, and always connected, limited, and proportionate to these purposes.
Transfer of Personal Data
Your personal data is processed for the purposes listed above pursuant to Article 8/2/a of the KVKK and Articles 5/1 and 5/2/a-c-ç-e-f of the KVKK, based on one or more of the following legal grounds: it being explicitly provided for by law; it being directly related to the establishment or performance of a contract; it being necessary for Kültür ve Medeniyet Vakfı to carry out its activities; it being necessary for the continuity of online and physical education conducted within Kültür ve Medeniyet Vakfı; it being necessary for the fulfillment of a legal obligation; it being necessary for the establishment, exercise, or protection of a right; or it being necessary for the data controller’s legitimate interests, provided that this does not harm the fundamental rights and freedoms of the data subject, and provided that explicit consent has also been obtained where required.
Pursuant to Articles 8 and 9 of the KVKK, your personal data, competitor team, and team member information may, within the scope of the purposes listed above and to the extent deemed necessary for the continuation of Kültür ve Medeniyet Vakfı’s activities and within the conditions and purposes for personal data processing, be transferred to necessary third parties (affiliated institutions/schools, program partners, collaborating institutions, foundation managers/employees, legally authorized public institutions and organizations, legally authorized private law persons, or foreign countries).
Pursuant to Articles 8 and 9 of the KVKK, personal data obtained through video recordings during online education platforms and physical training sessions conducted by Kültür ve Medeniyet Vakfı may also be transferred to third parties by individuals who could not attend the training and by those to whom the recordings are sent, according to individual preferences, in order to ensure the continuity and efficiency of the training.
Retention Period
Your personal data will continue to be stored as long as you remain affiliated with Kültür ve Medeniyet Vakfı and continue to follow its activities. It will continue to be stored for a period of 10 years from the date the relationship with Kültür ve Medeniyet Vakfı is terminated. In any case, your personal data will be deleted or anonymized in accordance with the KVKK at the end of the retention periods specified in the relevant legislation.
Rights of the Personal Data Subject
Pursuant to Article 11 of the KVKK, everyone has the right to apply to the data controller to:
- Learn whether their personal data is being processed,
- Request information regarding their personal data if it has been processed,
- Learn the purpose of processing personal data and whether it is used in accordance with its purpose,
- Know the third parties to whom personal data is transferred domestically or abroad,
- Request correction of personal data if it has been processed incompletely or incorrectly,
- Request the deletion or destruction of personal data within the conditions set out in Article 7 of the KVKK,
- Request that transactions carried out pursuant to items (d) and (e) be notified to third parties to whom personal data has been transferred,
- Object to a result that is against the person themselves, arising from analysis of the processed data exclusively through automated systems,
- Request compensation for damages in the event of loss due to unlawful processing of personal data.
